Instructions

Terms of Candidature:

  1. All applications for the Khalifa Award are to be submitted online at www.khaward.ae. For candidates interested in applying
    to the Khalifa International Award for Early Learning Field, please refer to page # 52 for further information.
  2. After reviewing the appropriate guidelines for the chosen disciplines and categories on the award website, applications must be
    submitted electronically per the agreement, including the general instructions and special conditions.
  3. Research papers or projects to be submitted in Arabic or English, except for applications pertaining to the Educational Research
    Field and the Educational Authorship for Children Field.
  4. The documents, proofs, and paperwork attached to the application process should be valid for three years at most. (documents
    pertaining to the “Higher Education Field” can be valid for the last five years at most.)
  5. All requested category and field-specific forms and papers available on the E-candidature system must be filled out with decent
    and clear handwriting (This applies to individuals and institutions alike.)
  6. Communication with the candidate will be carried out according to the E- Candidature System for individuals and team leaders alike.
  7. The Khalifa Awards management is not required to provide feedback reports on applicant submission evaluations in the current session.
  8. The General Secretariat holds the right to verify the information given by the candidate directly by demanding additional supportive
    evidence in case they were not disclosed in the application.
  9. The applicant must have been of good conduct and not subjected to any disciplinary penalties, warnings, or punitive measures. If
    requested, the General Secretariat must be provided with a copy of the certificate of good conduct.
  10. In the event of any exceptions not mentioned in the award conditions, the Award’s General Secretariat will review and decide upon
    them with a final decision.

Applications Acceptance Terms & Conditions:

  1. Previous winners of the Khalifa Award for Education in any field or category may NOT reapply, regardless of whether they are
    individuals, institutions, or part of a team. One exception is when a new management team and new members may apply from
    the same institution that has previously won in previous sessions.
  2. The Khalifa Award considers applications from applicants who have previously received awards in the same subject matter
    provided that the awards meet two specific criteria:
    • It has been at least two Gregorian years after the other award/s announcements were made.
    • If the awards received do not possess comparable literary or material worth
  3. The Candidate for the Khalifa Award shall NOT apply to another similar award, whether within the UAE or abroad, in the same
    year as their application to the Award and consequently in the same field of nomination.
  4. Applications and nominations for one session shall be in one field. Applying for two fields or two categories in the same field is
    NOT allowed.

In Cases of Winning (Individuals & Entities)

  1. Should an educational project or program win, the Award’s General Secretariat shall have the right to circulate it to all relevant authorities
    under the name of the General Secretariat and the award winner, whether it is an entity or an individual.
  2. If the Khalifa Award is won, the winner is expected to participate in its activities, events, and workshops.
  3. The General Secretariat grants certificates ONLY to finalists from the UAE and Arab levels who made it to the advanced evaluation phases
    (Interviews).
  4. Any candidate must NOT use the Khalifa Award for Education’s logo in any form of media, be it televised or any visual portals, social media
    channels, or commercial promotions, without obtaining prior written consent from the General Secretariat.
  5. Regulation of the intellectual property of the awarded work shall be managed by the General secretariat, where works will be printed, distributed,
    used, or applied within two years from the award’s date. Otherwise, the work shall become the sole property of the original owner.
  6. The winner will sign an undertaking regarding adhering to the internal regulations of the Khalifa Award for Education Awarding Ceremony,
    which will be sent after the announcement of the winners/finalists.
  7. In the event of winning, the value of the financial prize will be transferred to winners from outside the country in an equivalent amount in the currency of the winner’s country.
  8. In the event of the team winning, the total value of the prize will be paid to the team leader, with a pledge signed by him to distribute the
    prize value according to the following procedures:
    • 20% of the prize value is used to develop the winning project.
    • 80% of the award value is distributed to the work team.

Post-Winning Arrangements:

  1. The winning individual/ entity must hand in a file (PDF format) consistent with the winning work’s contents according to a particular criterion.
  2. The General Secretariat of the Khalifa Award for Education shall bear the expenses – including air ticket (from and to the country the winner
    is applying from), hotel, and entry visa – of the Winner ONLY, exclusive of any accompanying companions.
  3. If the winner cannot attend the ceremony, the certificate of appreciation and the honoring shield will be mailed to them.
  4. Only winners can ascend to the podium. If the winning candidate is an institution or a team, the team leader or leading researcher is
    authorized to receive the Award at the official ceremony on behalf of their team or entity.
  5. If an entity or team wins from outside the UAE. The Award can only cover the expenses of the team leader, lead researcher, or the assigned
    person on behalf of the team or entity.
  6. In the unfortunate event of the death of a candidate after their nomination for, acceptance of, and winning the Award, their right to the
    Award stands and shall be granted to their rightful heirs.

Requirements Guide for E-Candidacy

  1. The application must be completed electronically after reading, understanding, and accepting the General Information and Special Conditions.
  2. For individual Candidates, a recent 4cm x 6cm personal photo with a white background shall be attached. The logo shall be attached for teams or entities, with the maximum number of team members not exceeding eight, including the team leader.
  3. Each individual Candidate should attach their Curriculum Vitae in (PDF format); for entities or establishments, an abstract regarding the entity is required in (PDF format).
  4. Required attachments from candidates:
    • Emirati candidates: passport copy, family book copy, and EID card copy must be attached.
    • Expatriate candidates: a copy of their valid passports, residence permits, and EID cards must be attached.
    • For teams/entities’ candidates: the team leader must attach a copy of their passport and family book (for Emiratis), a valid residency copy, and an EID copy (for Residents).
  5. Copy of the latest academic qualification attested from all concerned departments in the country of relevance.
  6. For individual, team, or institution candidates, the Recommendation Letter must be downloaded from the website, filled in, and attested by the candidate’s establishment management (which the candidate belongs to in the country they are applying from). This letter is not to be filled out or Approved by the candidate or colleagues; once duly attested, the letter should be uploaded to the box indicated on the website.
    Recommendation Letter(s) are compulsory to approve the nomination application in all fields except the Educational Authorship for Children and Educational Research fields.
  7. If the candidate for the award is outside the educational field, they must submit a personal nomination letter, which is conditional for accepting the nomination application.
  8. The establishment or authority issuing and attesting the candidature and Recommendation Letter is held fully responsible for its validity and accuracy and shall be held liable to the General Secretariat of the Khalifa Award for Education.
  9. If the candidate is an institution, the nomination for the award shall be on behalf of the institution or in its ruling and NOT on behalf of the members of the administrative bodies or the team, provided that the requirements are adhered to in the electronic application system by including the information and data pertaining to team leader and members of the team.

Attachments and Electronic Supporting Files

  1. Several attachments may be uploaded per each criterion, provided that each attachment is less than 100 MB.
  2. Attached documents uploads are accepted ONLY in (PDF format). Likewise, an attachment should NOT exceed 100 MB
  3. The candidate may create an (Excel, PowerPoint, or a Word file), then save it as a (PDF format) document and then upload it to the website.
  4. For E-security reasons, no (PowerPoint) files or hyperlinks are permitted.
  5. Large video files that cannot be reduced may be uploaded to YouTube, with the link of each file to be pasted separately, in the box provided on the Award’s application form link for the respective criterion.

NOTE: When uploading videos to YouTube, kindly change the status of the posted video to ‘unlisted’ to prevent incorporation in the same field and to ensure that only those who are provided with the link and allowed to access the video can see it. To upload the files and attachments properly and avoid any problems, here are more tips on uploading files correctly:

  • To upload files and attachments easily:
  • Each large file or attachment needs time to upload, which will vary according to its size.  Please upload each file or attachment separately in each field and save the application to start the uploading process. (The time needed for a file to upload varies according to the attachment’s size).
  • Once the file is successfully uploaded, the word ‘Download’ will appear next to the concerned field.
  • Consequently, you need to press ‘Modify the Application’, then upload the next file or attachment.
  • To ensure that the uploading process is smooth when uploading files, access to a high-speed Internet network is recommended. 

Disqualification of Application Nomination:

  1. When it is discovered that the submissions include incorrect information or data or forged documents, whether at the time of detection, upon winning the award, or after officially declaring the winner, regardless of the time-lapse after granting the award. 
  2. If this measure is taken upon a decision made by the Board of Trustees, including specifying cases in which the award is withdrawn in a manner that does not contradict intellectual property rights, the process of canceling and withdrawing the award and its components is subject to a decision by the Board of Trustees. 
  3. If the winner has been announced and given the Award, but the Award is subsequently canceled, this cancellation shall be announced in the same media outlet in which the award’s winning was announced. 
  4. Candidature shall be disqualified if terms and forms were not completed on the E-Candidature System on the due dates, received beyond the due date, and did not satisfy all the requirements.
